Please read carefully

BabyCare Scanning Ltd aim to provide the highest level of service possible. We only employ sonographers that have undergone rigorous training. If you have any concerns or wish to bring anything to our attention please do so using the email or telephone number provided on the contact page.


While we always endeavour to provide you with the best quality 2D, 3D and 4D images there are several factors which can affect ultrasound image quality such as:

  • Position of baby
  • Position of placenta
  • Increased maternal BMI/adipose tissue
  • Amount of amniotic fluid surrounding baby
  • Later than 33 weeks gestation

If we feel image quality can be improved by re-scanning at a later date one rescan appointment will be offered free of charge.

We cannot be held responsible and cannot offer refunds for poor quality images which are beyond our control. Our professional opinion is final.

Gender Determination

We always aim to provide as accurate determination of baby’s gender as possible. BabyCare Scanning have an impeccable accuracy rate. However, 100% accuracy cannot be guaranteed. BabyCare Scanning accept no liability in the event of incorrect gender identification. Factors such as increased maternal BMI, position of baby and gestation beyond 30 weeks can make accurate gender determination more difficult.


BabyCare Scans are not intended to replace your NHS scans. We strongly advise that you attend for your routine NHS booking and anomaly scans and any other scans that are recommended by your healthcare provider.

BabyCare Scanning provide souvenir scans. The purpose of your scan with us is non-diagnostic. We will not routinely look for abnormalities but during the course of your scan we may find some variation from normal. We will inform you and your midwife if this is the case and give you a written report to take away. We cannot be held responsible for failure to diagnose or misdiagnosis of any abnormalities.

A basic well-being check of baby will be performed during your scan (check for heartbeat and movements and where applicable an assessment of growth).

Video Clip and Image Use

All images provided by BabyCare Scanning are souvenir images, they are not diagnostic images. Video clips and DVD recordings are for personal entertainment purposes only.

You have permission to use these souvenir images and recordings providing they are for entertainment and home use only and not for medical reference. BabyCare Scanning will not retain any record of these souvenir images.

If you wish to use your phone to record or video call during the scan, please just let us know and we will let you know the best time to do this.

Extra Guests

We have space for 3 extra guests to attend with you. During COVID, we cannot allow anymore than extra 3 guests, including children.


I understand that if myself or anyone attending my appointment has COVID symptoms or is self isolating, I will not attend my appointment.


Our online booking system is our preferred method of booking and we encourage booking through this system where possible. We can accept bookings via phone or email if necessary. We only take card details during booking in order to secure your appointment. No payment will be taken from this card during the booking process.

All scans must be paid for in full before the scan commences. Gift extras can be purchased at any time.

During your appointment

We cannot allow personal photography and videography during your scan. We can allow a short video call. Please let us know if you would like to video call and we can let you know the best time to do this.

We strive to ensure scans are carried out at their allotted time but babies can be unpredictable and we sometimes run a little late. Appointment times cannot be guaranteed.

We reserve the right to cancel your appointment if you arrive more than 15 minutes late.

You will be asked to agree and sign these terms and conditions before your scan commences.

No food or drink allowed in the clinic.

Cancellation Policy

We understand that you may need to cancel or reschedule your appointment. This can be done using the link in your booking confirmation email. Alternatively, you can call us or email to let us know. If you fail to do so within 24 hours of your appointment time, the card used at booking will be charged the full amount of your chosen scan package (minus any add on gift items).
